Filing and Labeling

Creating files, labels, folders and other methods of record keeping for stewardship properties

If you would like any of the following documents in Microsoft Word format, please contact us with that request.

Create Labels

  • Open up Word
  • Click Tools on the toolbar
  • Click on Envelopes and Labels
  • Click on Label box in lower right corner
  • Choose the desired label format from pop-up list
  • Click OK
  • Click on New Document

Your label template should now be in view and ready to fill in. The most common Labels we use are:

  • 5160 Address – 30 per sheet
  • 5163 Shipping – 10 per sheet
  • 5366 File Folder – 30 per sheet

Templates for Field File cover labels and for Office File section tab and cover labels are provided. You will want to edit these for your own purposes.

Acquire Folders

There are many sources to buy these from and there are different brands and pricing to choose from as well.

For the Field File we use "Oxford PressGuard Report Covers with Fasteners"

We use 8½" x 11" size with 3" capacity. The material is coated to resist wear. We have properties protected through various programs or agencies and buy different color report covers to color code them.

For sheet protectors we use the economy weight top loading style, and the larger the quantity the better the price.

For the Office File we use "Moisture-Resistant Classification Folders".

We like the ones with 2 internal dividers, which means you get six sections. Paper is fastened with two holes. They have Tyvek spine and gussets for durability. We color code these to match the Filed Files.

Portable Document Format Symbol Portable Document Format (.pdf). Visit for a list of free .pdf readers for a variety of operating systems.
