Copy cataloging is the process of searching a bibliographic database (like the NHU-PAC or the OCLC WorldCat) for an existing MARC record that represents a specific item. Once a matching record has been located, that record can be added to a library's electronic catalog or it may be used as a basis for printing a catalog card or adding a NHU-PAC holding.
MARC records – free of charge
NHAIS member libraries can use Z39.50 to search NHU-PAC and download MARC records into their local system or a Z39.50 client at no charge. We can also provide you with a set of MARC records for items that you submit to us as brief records for copy cataloging. Records for items submitted for copy cataloging will be provided to you via email based on information submitted to us on your most recent MARC Record Request form. Copy cataloging – free of charge
For items not found in the NHU-PAC you can enter brief record requests using the Brief Records form and we will locate an appropriate MARC record, either in the NHU-PAC or from OCLC, and add it to the NHU-PAC with your library’s holding code attached. If no record is available, the item will be considered for the Original Cataloging Program.
MARC records for NH Downloadables
The NHU-PAC includes MARC records for titles that are part of the NH Downloadables collection, both ebooks and audiobooks. If you would a like a set of these records to add to your local catalog you can request a file of these records (free of charge) by contacting the NHAIS Help Desk. To keep this collection of records up-to-date you will need to contact Bobbi Slossar to be added to the weekly distribution of downloadables records.
Reloading of your library's holdings -- free of charge
It is your obligation as a NHAIS member library to maintain your holdings on NHU-PAC, including deleting holdings for materials you have removed from your collection. If your library has not maintained accurate holdings in NHU-PAC, but you do have a local system that includes an accurate representation of your libraries holdings NHAIS Services may be able to do a one-time reload of your holdings into NHU-PAC. This is a time intensive process and can only be done as NHSL staff time allows. The ability to do this also depends upon the records in your local system being of a quality such that most of them can be matched on load, rather than requiring one-by-one matching by staff. To be added to the queue of libraries wishing to have this done you need to complete the Form to Request a Reload of your Holdings
Shelf list cards – $0.50 per title (effective 9/1/2008)
Based on files sent to NHAIS Services we can generate a set of shelf list cards for you including whatever classification numbers, pre-stamps, post-stamps, and cutters you indicate in your records. A Cataloging Products Profile form indicating that you will request shelf list cards must be on file with the NHAIS Services section in order for you to receive cards. Full sets of catalog cards – $2.00 per title (effective 9/1/2008)
Based on files sent to NHAIS Services we can generate a full set of catalog cards for you including whatever classification numbers, pre-stamps, post-stamps, and cutters you indicate in your records. A Cataloging Products Profile form indicating that you will request full card sets must be on file with the NHAIS Services section in order for you to receive cards.
